PLEASE READ THIS POLICY CAREFULLY BEFORE USING CREWPASS. THIS POLICY APPLIES WHEN YOU ACCESS CREWPASS FROM ANY DEVICE, INCLUDING DESKTOP, LAPTOP, TABLET OR MOBILE PHONE.
What this policy covers
This Acceptable Use Policy sets out the content and conduct standards that apply when you:
- access or use the CrewPass platform (the Web Platform) at dashboard.crewpass.co.uk;
- continue to use the CrewPass mobile application previously distributed on the Apple App Store and Google Play Store (the Legacy App), which has been withdrawn from new download but may remain installed on existing devices;
- upload content to CrewPass;
- communicate or interact with other users of CrewPass;
- link to CrewPass; or
- interact with CrewPass in any other way
(together, CrewPass).
Who we are and how to contact us
CrewPass Limited is a limited liability company incorporated in England & Wales with registered number 10842250 and with registered office at F1 Adanac North, Adanac Drive, Southampton, Hampshire, England SO16 0BT, United Kingdom (we, us, our).
CrewPass is a maritime workforce verification, compliance and crew-management platform. It is intended to:
- facilitate background checks, identity verification and compliance management to enhance crew members' employability on maritime vessels;
- allow crew members to upload qualifications, compliance documents and other relevant information;
- enable recruitment agencies, captains, vessel managers and management companies to verify the credentials of crew members; and
- support the ongoing administration of crew compliance.

By using CrewPass you accept these terms
BY USING CREWPASS, AND BY INDICATING ACCEPTANCE OF THIS POLICY WHEN REGISTERING OR LOGGING IN, YOU REPRESENT THAT YOU ARE 18 YEARS OR OLDER, YOU ACCEPT THE TERMS OF THIS POLICY AND AGREE TO BE LEGALLY BOUND BY THEM AND TO COMPLY WITH THEM.
If you do not agree to these terms, you must not use CrewPass.
We recommend that you retain a copy of this policy for future reference.
Changes to this policy
We may amend this policy from time to time at our discretion. Each time you use CrewPass, please check this policy to ensure you understand the terms that apply at that time. We will make material changes available on the CrewPass website and, where appropriate, notify you by email or in-product notification.
Prohibited uses
You must not use CrewPass:
- in any way that breaches any applicable local, national or international law or regulation;
- in any way that is unlawful or fraudulent, or has any unlawful or fraudulent purpose or effect, including bribery, sanctions evasion, money laundering or terrorist financing;
- in any way that infringes the intellectual property rights of others;
- to breach the privacy or data-protection rights of any other person;
- for the purpose of harming or attempting to harm any other person, including minors;
- to bully, insult, intimidate, harass or humiliate any person;
- to send, knowingly receive, upload, download, use or re-use any material which does not comply with our Content Standards (below);
- to transmit, or procure the sending of, any unsolicited or unauthorised advertising or promotional material or other form of solicitation (spam);
- to take part in any systems abuse, including without limitation excessive or intensive processor or storage use, computer hacking, masking, monitoring or copying any content of CrewPass by manual or automated means, or to use CrewPass in a way that could damage, disable, overburden, impair or compromise our systems or security or interfere with other users;
- to knowingly upload or transmit any file or data containing viruses, trojan horses, worms, time bombs, keystroke loggers, spyware, adware or other harmful programs or code;
- to disassemble, decompile or reverse engineer any software or component of CrewPass, or otherwise attempt to derive source code or trade secrets;
- to interfere with or disrupt CrewPass, the systems on which it runs, or third-party networks or services;
- to upload terrorist content;
- to engage in any other conduct that conflicts with this Acceptable Use Policy or applicable law or regulation.
You also agree:
- not to reproduce, duplicate, copy or re-sell any part of CrewPass in contravention of the CrewPass Participation Agreement, the CrewPass Terms & Conditions for Crew Users or any other applicable CrewPass terms;
- not to access without authority, interfere with, damage or disrupt any part of CrewPass, any equipment or network on which CrewPass is stored, any software used in the provision of CrewPass, or any equipment, network or software owned or used by any third party in connection with CrewPass;
- not to copy (except for back-up purposes), display, distribute, download, licence, modify, publish, re-post, reproduce, reuse, sell, transmit, use to create a derivative work, or otherwise use CrewPass or its content for private, public or commercial purposes outside the permitted scope of your account;
- not to collect or harvest information or data from CrewPass, our systems, those of any partner agency or vessel using CrewPass, or to attempt to decipher transmissions to or from CrewPass servers; and
- not to facilitate, encourage or enable any third party to engage in any conduct prohibited by this policy.
Interactive services
We may from time to time provide interactive services on CrewPass, including, without limitation:
- video-sharing and document-sharing facilities;
- messaging and chat features; and
- discussion boards or bulletin boards.

Where we provide an Interactive Service, we will provide clear information about the nature of the service, whether and how it is moderated, and how to contact the moderator. We are not under any obligation to oversee, monitor or moderate any Interactive Service, and we exclude our liability for any loss or damage arising from use of an Interactive Service in contravention of this policy, whether moderated or not. The use of any Interactive Service by a minor is strictly prohibited.
Content standards
These Content Standards apply to any material (a Contribution) which you contribute to CrewPass, including any Interactive Service.
The Content Standards must be complied with in spirit as well as to the letter. They apply to each part of a Contribution as well as to its whole. We will determine, in our reasonable discretion, whether a Contribution breaches the Content Standards.
A Contribution must:
- be accurate (where it states facts);
- be genuinely held (where it states opinions); and
- comply with the law applicable in England and Wales and in any country from which it is posted.
A Contribution must not:
- be defamatory of any person;
- be obscene, offensive, hateful or inflammatory;
- bully, insult, intimidate, harass or humiliate any person;
- promote sexually explicit material;
- include child sexual abuse material;
- promote violence;
- promote discrimination based on race, sex, religion, nationality, disability, sexual orientation or age;
- infringe any copyright, database right, trade mark or other intellectual property of any other person;
- be likely to deceive any person;
- breach any legal duty owed to a third party, such as a contractual duty or a duty of confidence;
- promote any illegal content or activity;
- be in contempt of court;
- be threatening, abusive or invade another person's privacy, or cause annoyance, inconvenience or needless anxiety;
- be likely to harass, upset, embarrass, alarm or annoy any other person;
- impersonate any person or misrepresent your identity or affiliation with any person;
- give the false impression that the Contribution comes from CrewPass;
- advocate, promote or incite any unlawful or criminal act, including copyright infringement or computer misuse;
- contain a statement that you know or believe, or have reasonable grounds for believing, members of the public to whom it is or is to be published are likely to understand as a direct or indirect encouragement or inducement to the commission, preparation or instigation of acts of terrorism;
- contain any advertising or promotion of services or web links to other sites.
For any Contribution in the form of video content, you must comply with applicable video-on-demand and audiovisual media regulations, including notification obligations for restricted or harmful material, restrictions on advertising of tobacco, prescription medicines and alcohol aimed at under-18s, and restrictions on content that may impair the physical, mental or moral development of persons under the age of 18.
Breach of this policy
Where we consider that a breach of this policy has occurred, we may take any action we reasonably consider appropriate. Failure to comply with this policy constitutes a material breach of the terms under which you are permitted to use CrewPass, and may result in any of the following actions:
- immediate, temporary or permanent withdrawal of your right to use CrewPass;
- immediate, temporary or permanent removal of any Contribution uploaded by you to CrewPass;
- issue of a warning to you;
- legal proceedings against you for reimbursement of all costs on an indemnity basis (including reasonable administrative and legal costs);
- further legal action against you; and/or
- disclosure of information to law enforcement authorities as we reasonably consider necessary or as required by law.
We exclude our liability for actions taken in response to breaches of this policy. The actions we may take are not limited to those described above.
Transfer of this policy
We may transfer our rights and obligations under this policy to any third party, provided this does not adversely affect your rights.
Governing law and jurisdiction
This policy, its subject matter and its formation are governed by the laws of England and Wales. You and we agree that the courts of England and Wales have exclusive jurisdiction, except that if you are a resident of Northern Ireland you may also bring proceedings in Northern Ireland, and if you are a resident of Scotland you may also bring proceedings in Scotland.
