This Cookie Policy explains how CrewPass Limited (we, us, our or CrewPass) uses cookies and similar technologies on the CrewPass website at www.crewpass.co.uk (the Hosted Site) and the CrewPass web application at dashboard.crewpass.co.uk (the Web Platform, together the Services). It should be read together with the CrewPass Privacy Policy, which explains how we handle personal data more generally.
By using the Services you agree to our use of cookies as described in this policy, except where your consent is required (see "Managing your cookies" below), in which case we will set non-essential cookies only where you have given consent.
1. What cookies are
Cookies are small text files placed on your device when you visit a website. They are widely used to make websites work, or work more efficiently, and to provide information to the site operator. "Similar technologies" include pixels, tags, local storage and software development kits that perform comparable functions. In this policy we refer to all of these as cookies.
Cookies may be session cookies (deleted when you close your browser) or persistent cookies (which remain until they expire or you delete them). They may be set by us (first-party cookies) or by a third party providing a service to us (third-party cookies).
2. The categories of cookies we use
We group cookies into the following categories, which match the choices shown in our cookie banner and preference centre.
Strictly necessary cookies. These are required for the Services to function and cannot be switched off in our systems. They include cookies that support authentication and sign-in, session management, security (including protection against cross-site request forgery), load balancing, and remembering your cookie choices. Because these cookies are essential, we do not ask for consent to set them, but you can block them through your browser (in which case parts of the Services may not work).
Performance and analytics cookies. These help us understand how visitors use the Services, which pages are most used, and how our product performs, so that we can improve it. We set these cookies only where you have given consent. The providers we use in this category are:
- Google Analytics 4 (GA4) - measurement and usage analytics;
- Hotjar - aggregated usage insights, heatmaps and session trends;
- Contentsquare - digital experience and journey analytics.
Functionality cookies. These remember choices you make (such as language or locale) to personalise your experience. This category is reserved for future use; where we introduce functionality cookies that are not strictly necessary, we will set them only with your consent.
Marketing cookies. These would be used to measure and support marketing and to tailor messages to you. This category is reserved for future use; we will set marketing cookies only with your consent, and this policy and our preference centre will be updated before any such cookies are used.
3. Google Consent Mode
Where we use Google services (including GA4), we operate Google Consent Mode. This means that, until you consent, analytics and marketing storage are set to "denied", and Google adjusts its behaviour accordingly. When you give consent through our banner or preference centre, the relevant storage is updated to "granted". If you withdraw consent, it returns to "denied".
4. Managing your cookies
When you first visit the Services you are shown a cookie banner that lets you accept or reject non-essential cookies. You can change your choices at any time through the cookie preferences link on our website and in the Web Platform, which opens our preference centre.
You can also control cookies through your browser settings, including deleting existing cookies and blocking future ones. The "Help" function in your browser explains how. Because strictly necessary cookies are essential, blocking them may stop parts of the Services from working.
Your consent choices are stored on your device and are treated as valid for up to twelve (12) months, after which we will ask you again. We will also ask again if the cookies we use change materially.
5. Do Not Track
Some browsers offer a "Do Not Track" (DNT) signal. There is not yet a consistent industry standard for how DNT should be handled. We honour the choices you make through our banner and preference centre and through Google Consent Mode; where a recognised standard for DNT emerges, we will review our approach.
6. Legal basis
We set strictly necessary cookies on the basis of our legitimate interests in operating a secure and functional service. For all other cookies we rely on your consent, in line with the Privacy and Electronic Communications Regulations 2003 (PECR) and the UK GDPR (as amended, including by the Data (Use and Access) Act 2025). You can withdraw consent at any time; withdrawal does not affect anything done before you withdrew it.
7. Changes to this policy
We keep this policy under review and may update it from time to time. Where we make material changes, including introducing a new category or provider of cookies, we will update this page and, where required, ask for your consent again. Please check this page periodically.
